General

What is Org App?

Org App is the central administration application for FlowState. It provides comprehensive management of organizations, workspaces, users, and attributes (categories and tags). It also handles external sync configuration for integrating with third-party services like GitHub.

Who should use this app?

Org App is designed for:

  • System Administrators who manage multiple organizations and configure platform-wide settings
  • Organization Owners who manage their organization's workspaces, users, and attributes
  • Workspace Administrators who configure workspace-specific settings and integrations

What is the relationship between organizations and workspaces?

Organizations are the top-level containers in FlowState's multi-tenant architecture:

    └── Projects, Tasks, and other entities
  • Organizations provide data isolation between different tenants
  • Workspaces allow you to organize work within an organization (e.g., by team, department, or project area)
  • Most FlowState data belongs to a specific workspace within an organization

How many organizations can I create?

There's no hard limit on the number of organizations. However, consider:

  • Each organization provides complete data isolation
  • Users must be added to each organization separately
  • Attributes can be shared across workspaces within an organization

Organizations

How do I switch between organizations?

  1. Navigate to the Orgs page (/apps/org/orgs)
  2. Click on the organization you want to select
  3. The selection is persisted and affects all FlowState apps

Can I rename an organization?

Yes, to rename an organization:

  1. Navigate to the Orgs page
  2. Click on the organization to open the edit form
  3. Update the name field
  4. Click Save

What happens when I delete an organization?

Deleting an organization removes all associated data including:

  • All workspaces within the organization
  • All projects, tasks, and other entities in those workspaces
  • All attributes defined for the organization
  • User associations (users themselves are not deleted)

Warning: This action is irreversible. Consider archiving instead if you may need the data later.

Can users belong to multiple organizations?

Yes, users can be members of multiple organizations. Each organization maintains its own membership list and permissions.


Workspaces

How many workspaces can I create?

There's no hard limit. Create workspaces based on your organizational needs:

  • By team: Engineering, Marketing, Sales
  • By project: Product A, Product B
  • By function: Development, Testing, Support

Can I move a workspace to a different organization?

Currently, workspaces cannot be moved between organizations. You would need to:

  1. Create a new workspace in the target organization
  2. Manually migrate or recreate the data
  3. Delete the old workspace

What's the difference between archiving and deleting a workspace?

How do workspace selections affect other apps?

When you select a workspace in Org App:

  • The selection is stored in local storage
  • Other FlowState apps (Projects, Todo, etc.) filter data to the selected workspace
  • Creating new items in other apps associates them with the selected workspace

Attributes

What are attributes?

Attributes are categories and tags used to classify and organize entities across FlowState:

  • Categories: Grouping classifications (e.g., "Development", "Marketing", "Support")
  • Tags: Labels for entities (e.g., "Urgent", "Blocked", "Needs Review")

What's the difference between categories and tags?

Can I use the same attribute across workspaces?

Yes, attributes are defined at the organization level and can be used across all workspaces within that organization.

What presets are available for attribute seeding?

The available presets include:

  • Project Management: Categories and tags for project organization
  • Development: Software development-specific attributes
  • Marketing: Marketing and content-related attributes
  • General: Common organizational attributes

How do I create custom colors for attributes?

The attribute form provides a color palette with predefined colors. To use a custom color:

  1. Open the attribute create/edit form
  2. Click on a color in the palette
  3. The selected color is applied to the attribute
  4. Custom hex values are not currently supported

Can I delete an attribute that's in use?

Deleting an attribute in use may affect entities that reference it. Best practice:

  1. First, reassign entities to a different attribute
  2. Or archive the attribute instead of deleting
  3. Then delete if necessary

Sync & Integrations

What external services can I connect?

Currently supported sync providers:

How does GitHub sync work?

  1. Connect your GitHub account via OAuth
  2. Select repositories to sync
  3. Configure polling interval
  4. FlowState periodically fetches data from GitHub
  5. Changes appear in relevant FlowState apps

Is sync one-way or two-way?

Currently, external sync is one-way (from external service to FlowState). Changes made in FlowState do not sync back to external services.

How often does sync run?

Sync frequency is configurable:

  • Minimum: Every 5 minutes
  • Maximum: Every 60 minutes
  • Manual: Use "Sync Now" button anytime

What data syncs from GitHub?

When connected to GitHub, the following data can sync:

  • Repository information
  • Issues and issue labels
  • Pull requests
  • Milestones (mapped to FlowState milestones)

How do I disconnect an external service?

  1. Navigate to Sync page
  2. Find the connected provider
  3. Click Disconnect
  4. Confirm the disconnection

Previously synced data remains in FlowState after disconnecting.


Users

How do I add users to my organization?

User management may be handled through platform-level settings. In the Org App:

  1. Navigate to Users page to view current members
  2. User invitations are typically managed through organization settings or platform admin

Can I remove a user from an organization?

User removal is typically handled at the platform level. The Org App's Users page provides a directory view of organization members.

What permissions do users have?

User permissions depend on their role within the organization. Common roles include:

  • Owner: Full organization management
  • Administrator: Manage workspaces and settings
  • Member: Create and manage own content

Technical

Which browsers are supported?

Org App supports the latest versions of:

  • Chrome (recommended)
  • Firefox
  • Safari
  • Edge

Does the app work offline?

Yes, thanks to RxDB's local-first architecture:

  • Data is stored locally in your browser
  • You can view and navigate data offline
  • Changes sync when you reconnect
  • External sync (GitHub) requires an internet connection

How do I clear my local data?

To reset your local data:

  1. Open browser Developer Tools (F12)
  2. Go to Application > Storage
  3. Clear site data for FlowState domain
  4. Refresh the page

Warning: This will remove all locally cached data including your org/workspace selections.

Where is my selection stored?

Organization and workspace selections are stored in browser local storage:

  • Persists across browser sessions
  • Specific to the browser/device
  • Different browsers will have independent selections
